Eventure Collective Booking Terms & Conditions
By submitting a booking request with Stayhouse Collective Pty Ltd (ACN 686 851 472) trading as Eventure Collective (“Eventure Collective”, “we”, “us”), you agree to the following terms:
1. Booking & Payment
1.1. You must pay a non-refundable 50% deposit of the Total Booking Fee to secure your booking of the Venue. The remaining balance is due 30 days prior to the commencement of your event.
1.2. Bookings made within 30 days of your Event must be paid in full at the time of booking.
1.3. A security bond of $500.00 is required 14 days prior to your Event and will be refunded within 5 business days after your Event, subject to our satisfactory inspection of the Venue.
2. Cancellations & Rescheduling
2.1. Cancellations made within 30 days of your Event will be charged the Total Booking Fee.
2.2. Rescheduling of your Event is permitted once, with at least 30 days' notice, subject to availability and must be within a 3-month period from the original booking date of your Event.
3. Use of Space
3.1. You may only use the Venue for the type of event as noted in the Booking Form (“Permitted Use”) and for no other purpose without the express prior written consent of Eventure Collective. You must ensure that the Venue is suitable for the Event that you wish to host.
3.2. You must seek Eventure Collective’s prior written approval where any additional facilities, equipment and services are to be provided by third party suppliers for the Event.
3.3. You are responsible for setting up and removing all equipment, furniture or décor at your costs within the stated Start and End time of the Event (“Hire Period”) (unless you secure the setup/pack down package). If you require additional time this will incur an additional charge of $150.00 per hour on weekdays or $250.00 per hour on weekends.
3.4. The number of guests must not exceed the agreed number listed in the booking form.
3.5. If you move any of Eventure Collective’s furniture and fittings during the Event they must be returned to their original place at the end of your Event.
3.6. No alterations may be made to the Venue, its structure or fittings and fixtures.
3.7. Children must be supervised at all times.
3.8. Unless otherwise approved by Eventure Collective in writing prior to the date of your Event, animals are not permitted at the Venue, except assistance animals.
3.9. You must organise all of your own catering equipment, including their own tablecloths, crockery and cutlery.
3.10. Smoking is not permitted at the Venue, except for designated smoking areas.
3.11. The Venue’s kitchen must be left in a clean and tidy condition at the conclusion of your Event, or you will be held responsible for the costs of cleaning.
3.12. You must leave all hired areas of the Venue secured, in a clean and tidy condition, removing all personal property, all decorations and rubbish of any kind.
3.13. If you do not comply with clause 3.12, you accept responsibility for, and pay the cost of, any additional cleaning of the Venue.
3.14. The venue is monitored by security cameras for safety. Footage may be recorded during your booking.
4. Access & Time
4.1. Access is granted only during the agreed Hire Period of the Event. Early access or late exit will incur additional fees and must be pre-arranged.
4.2. All bookings must strictly adhere to the allocated Hire Period. Exceeding your booked time will incur a fee as per clause 3.3.
4.3. PLEASE NOTE: The space may be booked immediately after your session, so timely pack-down and exit is essential to avoid disruption to other clients.
4.4. You will be provided the arrival instructions 24 hours prior to the commencement of your Event.
4.5. Lost property – you must not enter the Venue after the Event to collect any items left behind or “lost” property. We will take any property found in the Venue it will be retained for a period of up to 4 weeks or until claimed by the owner upon satisfactory proof of ownership. Any items remaining after a period of 4 weeks will be disposed of. We do not take any responsibility for the “lost property” whilst it is in our possession.
5. Alcohol & Licensing
5.1. BYO alcohol is permitted for private events; however, no alcohol is to be sold without a valid license.
5.2. You must ensure responsible consumption and compliance with RSA guidelines.
5.3. Food must be served at all events where alcohol is consumed.
5.4. Alcohol must not be consumed by a minor child or consumed outside the Venue.
5.5. Eventure Collective takes no liability for alcohol-related incidents during or after the Hire Period and you agree to indemnify Eventure Collective for any fines received from any regulatory authority.
6. Noise & Conduct
6.1. Noise must be kept to a reasonable level, this especially relates with respect to nearby residents or businesses. Eventure Collective may request you to reduce the sound level to which you must immediately attend to.
6.2. Our hours of operation are 6:00am – 10:00pm and you must vacate the Venue within these hours. If vacating the Venue between 7:00pm and 10:00pm then you and your guests must leave quietly so as to not disturb any neighbours.
6.3. Anti-social behaviour will not be tolerated and may result in immediate termination of the booking.
6.4. You are responsible for the conduct of all guests within and surrounding the venue, with inappropriate behaviour, nuisance or damage to neighbouring properties potentially resulting in partial or full retention of the security bond.
7. Liability & Insurance
7.1. You acknowledge that security personnel are not provided with the booking of your Event. You accept that if you require security you will be responsible for engage security at your own cost.
7.2. We may in certain situations, depending on the type of event you are seeking to host, require you to engage security personnel as a condition of the hire of the Venue for your Event.
7.3. Eventure Collective is not liable for any injuries, damages or loss of property during the occurrence of your event.
7.4. Public liability insurance is required for certain events. You may be asked to provide a Certificate of Currency.
7.5. You are responsible for the safety of your guests while occupying the Venue.
7.6. You must not bring or permit any smoke machine, flame, candle, explosive, fuel, ammunition, pyrotechnic, firearm or flammable liquid or substance or any dangerous weapon to be brought into, or used within the Venue.
7.7. If you, your contractors or any of your guests do any act which leads to the fire alarm or sprinklers being activated, you will be responsible for making payment of any costs associated with the fire brigade attending the Venue.
7.8. You will indemnify and keep the Eventure Collective indemnified for and against all damages, action, suits, claims, costs and demands, which may be made or recovered against Eventure Collective by any person whatsoever in respect of any loss, injury (including death) or damage sustained whilst in or at the Venue except to the extent that such loss, injury or damage is caused by the negligence of Eventure Collective, its servants and agents.
8. Damage & Bond
8.1. You are responsible for the Venue as described and specified in the Booking Form. You are liable for any damage to the Venue, its facilities and furnishings and equipment during your Event. This includes the behaviour of all people (invited or not) accessing the Venue during your Event.
8.2. Any damage to the space, fixtures, or equipment and furniture will be deducted from the security bond or invoiced if in excess.
8.3. You will be notified of any deductions within 48 hours of the event.
9. Photography & Promotion
9.1. Eventure Collective reserves the right, and you by booking your Event you agree, to take photographs and use photographers and videography footage from contracted parties of the Venue setup for promotional use, unless otherwise advised in writing by you.
